SPECIFICATIONS FOR HOSTING THE 2025 GOLF TOURNAMENT
Program: 2025 Annual Industry Golf Tournament
Preferred Time: 8:00 a.m. Shotgun Start
Preferred Month: May 2025
Attendance: Approximately 100 Players
Total for lunch could be between 100-150 attendees
Space/Events:
- Inclusive per person cost for green fees, cart, range balls and lunch to include tax and gratuity.
- Inclusive per person cost for lunch only.
- Course must serve alcohol and have enough beverage carts to service this group. This group has a history of generating high alcohol sales.
- Provide six 6′ tables/chairs for registration and check-in.
- Additional 15-20 6′ tables/chairs for sponsored holes
- Additional golf carts to be available for sponsors and committee members
- Locked storage facility day before to store supplies and goody bags
- No “cart path only” restrictions preferred
Golf Clinic: Golf Professional to be available to conduct a 1-1/2 hour golf clinic for non-golfers during the tournament at an inclusive per person cost.
Accommodations: For venues — a special guest room rate to be established for participants who wish to stay overnight — the night prior and the night of the tournament.
Audio Visual:
- Complimentary audio-visual equipment and services for the event.
- Microphone
- LCD projector and screen or monitors to stream sponsor recognition
- Labor: set-up and teardown labor included
Raffle Prize: The host venue will offer raffle prizes to be used at this event. Prizes to be determined by the property and listed in the contract.

Special Notes: Clear visible meeting location, signage, ample parking spaces, and or complimentary valet parking.
Deadline: All proposals due by February 1st.
Value to Sponsor:
- Sponsorship exposure to 100-150 meeting and hospitality industry professionals from around the state
- Sponsorship display table on one of the holes
- Venue name and logo on all printed materials, social media, e-marketing, press releases for the event, and the HSMAI website
- Venue name and logo on all promotion to other HSMAI chapters
- Venue offered opportunity to have featured manager give welcome to the meeting group
- Opportunity for site tours

Special Consideration:
Our budget for the meal is $20 per person inclusive of tax and service. In the past, the HSMAI Golf Committee has been fortunate that the host property’s culinary team has wanted to showcase some of their specialties considering there will be 100-150 industry professionals participating in the tournament.
