On behalf of the 2024 Golf Tournament Committee, we are pleased to invite you to bid to host our 2024 Joint Golf Tournament. This is a perfect opportunity for your property or venue to showcase your product/services to meeting planners and suppliers throughout the valley and show support of your two local meeting and hospitality industry associations.

Proposals Due by Thursday, November 30, 2023

If you agree with the terms and conditions below, please complete this form, include the proposed space with the information requested below. Priority will be given to venues and companies who will commit to donating services and rental in exchange for sponsorship recognition. Please provide the retail value for everything you are donating as an in-kind sponsorship.

You are strongly encouraged to provide additional collateral/formal proposal to enhance your proposal to include the menu. Please e-mail these additional items to Joanne Winter at jojowin@aol.com.

Again, we thank you for your support to our MPI and HSMAI Chapters and look forward to your response. Once selected, the property will be sent a contract to sign and return to the Association.

SPECIFICATIONS FOR HOSTING THE 2024 GOLF TOURNAMENT

Program:                       2024 Annual Industry Golf Tournament

Preferred Time             8:00am Shotgun Start

Preferred Months:       May  2024

Attendance:                  Approximately 100 Players

                                       Total for lunch could be between 100-150 attendees

Space/Events:

  • Inclusive per person cost for green fees, cart, range balls and luncheon to include tax and gratuity.
  • Inclusive per person cost for luncheon only.
  • Course must serve alcohol and have enough beverage carts to service this group. This group has a history of generating high alcohol sales.
  • Provide six 6’ tables/chairs for registration and check-in.
  • Additional 15-20 6’ tables/chairs for sponsored holes
  • Additional golf carts to be available for sponsors and committee members
  • Locked storage facility day before to store supplies and goody bags
  • No “cart path only” restrictions preferred

Golf Clinic:                    Golf Professional to be available to conduct a 1-1/2 hour golf clinic for non-golfers during the tournament at an inclusive per person cost.

Accommodations:       For venues – a special room rate to be established for participants who wish to stay overnight – the night prior and the night of the tournament, if applicable.

Audio Visual:

  • Complimentary Audio Visual equipment and services for the event.
  • Microphone
  • LCD Projector and screen/monitors
  • Labor: set-up and teardown labor included

Raffle Prize:                  The host venue will offer raffle prizes to be used at this event. Prizes to be determined by the property, and listed in the contract.

Membership:                Priority will be given to current MPI and HSMAI members. If you are not currently a member, but would like to be, e-mail Joanne at jojowin@aol.com.

Special Notes:              Clear visible meeting location, signage, ample parking spaces.

Billing:                           Direct bill to the MPI/HSMAI (jojowin@aol.com).

Deadline:                       All proposals due by Thursday, November 30, 2023.  Please submit to Joanne Winter, MPI/HSMAI by e-mail (jojowin@aol.com).

Value to Sponsor:

  • Sponsorship exposure to 100-150 meeting and hospitality industry professionals from around the state
  • Sponsorship exposure to 1,000-2,500 industry members (regards to promoting the golf tournament)
  • Sponsorship display table on one of the holes
  • Venue name and logo on all printed materials, social media, e-marketing, press releases for the event, and the MPI and HSMAI websites
  • Venue name and logo on all promotion to other MPI and HSMAI chapters
  • Venue offered opportunity to have featured manager give welcome to the meeting group
  • Opportunity for site tours

Special Consideration:

Our budget for the meal is $20 per person inclusive of tax and service. In the past, the MPI/HSMAI Golf Committee has been fortunate that the host property’s culinary team has wanted to showcase some of their specialties considering there will be 100-150 industry professionals participating in the tournament.
